1. Acceptance of Terms
By downloading, installing, or using the Turfmate application (the "Platform"), you agree to be bound by these Terms and Conditions. If you do not agree, do not use the Platform.
These Terms apply to all users including head coaches, assistant coaches, and players.
2. About Turfmate
Turfmate is a football academy management platform available on Android, iOS, and Web at turfmate.app. It provides tools for session planning, player performance tracking, coaching feedback, and AI-assisted coaching support.
Turfmate is built and maintained by a small, independent two-person team. We are not a large corporation. We care deeply about the product and the academies using it — if you have a problem, email us and a real person will respond.

3. User Roles & Responsibilities
- Responsible for creating and managing their academy on the Platform
- Responsible for adding players and assistant coaches to their academy
- Responsible for obtaining appropriate consent from players and, where applicable, their parents or guardians
- Must ensure all data entered is accurate and lawfully obtained
- May access the Platform after being added by the head coach using their name and mobile number, then signing in via one-time code (OTP)
- Responsible for the accuracy of remarks, notes, and feedback they submit
- Must not share their login credentials with others
- Access the Platform using phone OTP authentication set up by their coach
- May view their own profile, session plans, and coach feedback
- May update limited personal profile fields (bio, photo, height, weight, etc.)
- Must not attempt to access other players' private data
4. Account Registration & Security
- You are responsible for maintaining the confidentiality of your login credentials
- You agree to notify us immediately at support@turfmate.app if you suspect unauthorised access
- Turfmate reserves the right to suspend or terminate accounts that violate these Terms
- Player accounts may only be created by an authorised coach — self-registration is not available for players
5. Subscriptions & Payments
Certain features require a paid subscription billed monthly or annually through Razorpay. All prices are in Indian Rupees (INR) inclusive of applicable taxes.
- Paid subscriptions renew automatically each month for up to 12 monthly billing cycles. After 12 cycles the subscription ends and a new subscription is required to continue.
- Cancellation: cancel anytime from your account dashboard at turfmate.app, or email support@turfmate.app with subject "Cancel Subscription — [Academy Name]". Access continues until end of the current billing period. No pro-rata refunds.
- Unpaid renewals: if a payment fails, access is automatically suspended after a 3-day grace period. Data is retained for 30 days before deletion.
- Free trial: the trial is free and collects no payment details. We do not auto-charge when a trial ends — when it ends, the app becomes read-only until you choose a paid plan and complete payment yourself. Trial end date is displayed in-app under Settings.
- Turfmate does not store payment card details, banking credentials, or UPI PINs
- Refund exceptions are detailed in our Refund Policy
- GST invoices will be issued for all paid subscriptions upon request. Email support@turfmate.app with subject "GST Invoice Request" and your GSTIN.
6. Acceptable Use
You agree not to:
- Use the Platform for any unlawful purpose or in violation of applicable laws
- Upload or share content that is abusive, defamatory, discriminatory, or harmful
- Attempt to reverse-engineer, decompile, or tamper with the Platform or its infrastructure
- Circumvent security measures, Firestore rules, or access controls
- Use automated bots, scripts, or scrapers to interact with the Platform
- Impersonate another user, coach, or member of the Turfmate team
- Share or resell access to the Platform without written authorisation
7. AI Features & Limitations
Turfmate uses AI-powered features including player performance reports, session plans, player assessments, and a coaching assistant chat powered by the Google Gemini API via Firebase Cloud Functions.
Important: AI-generated content is provided for informational and coaching support purposes only. It does not constitute professional medical, fitness, physiotherapy, psychological, legal, or health advice. Coaches and players must use their own professional judgement when interpreting AI outputs.
- AI outputs may contain inaccuracies, errors, or biases and should be verified independently
- AI-generated player scores and assessments must not be used as the sole basis for player selection, rejection, or career decisions
- Turfmate expressly disclaims any liability for decisions made based on AI-generated content, including but not limited to player selection, deselection, or grading decisions
- Coaches retain full professional responsibility for all training, selection, and development decisions
- AI assessment scores are advisory only and reflect the drill data provided by the coach — they do not represent a comprehensive or definitive evaluation of a player's ability
8. Intellectual Property
All software, design, branding, and content comprising the Turfmate Platform is the intellectual property of the Turfmate development team unless otherwise stated.
- You may not copy, reproduce, or redistribute any part of the Platform without written permission
- User-generated content (remarks, notes, photos) remains owned by the respective user or academy
- By uploading content to the Platform, you grant Turfmate a limited licence to store and display that content solely for the purpose of providing the service
9. Data & Privacy
Your use of the Platform is governed by our Privacy Policy, which is incorporated into these Terms by reference. By using Turfmate, you consent to the data practices described therein.
Head coaches warrant that player data entered onto the Platform has been collected with appropriate consent, including parental or guardian consent for players under 18. Turfmate and the head coach/academy both have responsibilities in this regard; Turfmate provides the platform and storage, while the academy is responsible for consent and lawful collection at the point of entry.
10. Service Availability
The Platform is provided on an "as is" and "as available" basis. Turfmate does not guarantee uninterrupted, error-free, or loss-free operation. Scheduled or emergency maintenance may cause temporary unavailability without prior notice.
Backup responsibility: Users should maintain independent backups of critical academy records. Turfmate is not liable for indirect or consequential losses arising from outages, data corruption, or service interruption.
Force Majeure: Turfmate shall not be liable for any failure or delay in performance of its obligations under these Terms arising from causes beyond its reasonable control, including but not limited to: acts of God, natural disasters, pandemic, government action, internet or telecommunications failure, failure of third-party infrastructure providers (including Google Firebase, Google Cloud, Razorpay, or Resend), cyberattacks, power failure, or any other event outside Turfmate's reasonable control. In such events, Turfmate's obligations are suspended for the duration of the force majeure event. Subscription fees will not be refunded for outages attributable to third-party infrastructure providers.
11. Limitation of Liability
To the maximum extent permitted by applicable law:
- Turfmate is not liable for any indirect, incidental, or consequential damages arising from your use of the Platform
- Turfmate's total liability to any user shall not exceed the amount paid by that user in the 3 months prior to the claim
- Turfmate is not responsible for third-party service outages (Firebase, Google Cloud, Razorpay, etc.) that affect Platform availability
- Turfmate is not liable for any loss of data, records, or content arising from service outages, hardware failure, or actions of third-party infrastructure providers (including Firebase/Google Cloud)
12. Account Deletion
Coaches may delete their academy account from within the app (Settings → Delete Account) or by emailing support@turfmate.app with subject "Account Deletion Request — [Academy Name]".
Players may request deletion of their individual data via Settings → Delete Account or by emailing support@turfmate.app.
All personal data is deleted from active systems within 14 days of a verified request. Payment transaction records are retained per tax law requirements (see Privacy Policy §10).
13. Termination
Either party may terminate use of the Platform at any time.
- Coaches may delete their academy or request account deletion by contacting support@turfmate.app
- Turfmate may suspend or terminate accounts that breach these Terms, with or without prior notice depending on severity
- Upon termination, your right to access the Platform ceases immediately
- Data deletion requests will be processed within 14 days of a verified request
Want to delete your data? Email us at support@turfmate.app with the subject line "Data Deletion Request" and we will remove your account and all associated data within 14 days.
14. Changes to These Terms
We may update these Terms and Conditions periodically. When we do, we will update the "Last updated" date above.
For material changes — including changes to subscription pricing, cancellation policy, liability limitations, or data handling — we will notify active users via in-app notification or email at least 7 days before the changes take effect. If you do not accept a material change, you may terminate your account before the effective date.
Continued use of the Platform after the effective date of any change constitutes your acceptance of the revised Terms.
15. Governing Law & Disputes
These Terms are governed by the laws of India. Subject to the paragraph below, any disputes arising from or related to these Terms shall be subject to the exclusive jurisdiction of the courts of Tamil Nadu, India.
Consumer rights: Nothing in these Terms limits your rights as a consumer under the Consumer Protection Act 2019. You retain the right to approach a consumer forum or the National Consumer Disputes Redressal Commission (NCDRC) for disputes arising from deficiency of service, regardless of jurisdiction clauses above.
Dispute resolution: Before commencing legal proceedings, both parties agree to attempt resolution in good faith by contacting support@turfmate.app and allowing 30 days for a response.
16. Intermediary Liability (IT Act 2000 §79)
Turfmate operates as an intermediary under Section 79 of the Information Technology Act 2000 in respect of user-generated content (coach remarks, notes, session plans, photos) entered by coaches and players. Turfmate does not initiate, select the recipients of, or modify such content.
Turfmate shall not be liable for any third-party information, data, or communication made available through the Platform where Turfmate has not initiated the transmission, selected the receiver, or modified the content.
To report unlawful content or harmful material, contact our Grievance Officer (§17 below). We will act on valid notices expeditiously.
17. Grievance Officer
In accordance with the Information Technology (Intermediary Guidelines and Digital Media Ethics Code) Rules 2021 and the Digital Personal Data Protection Act 2023, the following Grievance Officer has been designated:

- Acknowledgement: within 5 business days (we are a two-person team — follow up if you haven't heard back within 10 days)
- Resolution: we aim to resolve within 30 days of receipt
18. Severability & Waiver
Severability: If any provision of these Terms is found to be unenforceable or invalid under applicable law, that provision shall be limited or eliminated to the minimum extent necessary, and the remaining provisions shall continue in full force and effect.
Waiver: Failure or delay by Turfmate in exercising any right, power, or privilege under these Terms shall not operate as a waiver of that right. A waiver of any breach does not constitute a waiver of any subsequent breach.
